Procedures for sending mail

Steps to ensure a quick service

Sending mail correctly simplifies and makes sorting procedures faster and more efficient, optimizing delivery services. Please follow our advice when preparing to send mail.

 

Choose the right format

Choose ENVELOPES that are best suited to the contents you are sending. We recommend the following sizes:

  • DL: 110x220 mm
  • C5/6: 114x229 mm
  • C6: 114x162 mm
  • C5: 162x229 mm
  • C4: 324x229 mm

Magazines and publications of unbound sheets of paper or ones containing inserts may also be mailed. Although we do accept them without envelopes, we recommend that they be wrapped in a polybag. Ensure that all the sides are sealed and label with the recipient’s address. The label should measure at least 4x8.5 mm, be well affixed to the item (the label should be directly on the item or on the plastic cover) and placed on the bottom right, aligned with one of the sides.

 

Printing the address

Once the item is ready to be sent, it is time to print the address. To make things simpler and quicker, we have attached a file called the BUSTOMETRO, which will allow you to quickly check whether you have correctly printed and affixed the address label, in accordance with the standards of the Post and Philately Service.

 

Placement of labels

Firstly, put the recipient’s address in the bottom right corner of the item, making sure not to leave any markings in the area around the label. The sender’s address should be placed on the top left corner.

Fonts

To print addresses:

  • use simple fonts that are not over decorative (such as Times New Roman);
  • choose so-called stick fonts (Helvetica, Arial, Lucida Console, OCR2-B) with a font size of 10-14.
  • avoid using cursive, Gothic, bold, gigantic or graphic fonts;
  • use CAPITAL letters in black ink, align the text to the left and use single or 1.5 line spacing.

 

Writing addresses correctly

The following are a few simple rules on writing addresses and some specific cases.

The address must have a minimum of three lines and a maximum of six.

Each line should provide specific information, as shown in the table below.

Writing the address

Always remember to:

  • Complete all the required fields in the order advised;
  • use capital letters;
  • avoid punctuation, underlining and special characters;
  • indicate the street number after the street name, never before

  • check how locations are spelled in the “Postcode” guide, and use the postcode that matches the location.

  • To send mail to the 41 cities, divided into postal zones, use the specific postcode that matches the recipient’s street name and number.

  • If your mail is addressed to an area that is not included in the guide, use the postcode of the municipality in which it is located.

Specific Cases

  1. If your mail is addressed to a post office box, you will have to indicate it by writing “POST OFFICE BOX”, followed by a five digit number.

  1. If your mail is addressed to a foreign country, remember to indicate the country in the correct line (COUNTRY), which will be the last thing on the address. The country name should preferably be written in Italian.
